How to Plan a XENOM Trip with Friends: Athletes, Supporters and Shared Costs
A XENOM trip can include full-Decathlon athletes, pairs, a friend doing the standalone 005K and supporters who never compete. Their days overlap without being identical, so the first group decision is who needs which entry and how much of the weekend everyone actually shares.

XENOM’s current Miami page says four divisions and lists tickets on sale, but heat times remain unpublished. The standalone 005K is a separate product. The organizer’s transfer and cancellation terms govern entries; a friend’s availability is not a substitute for a valid ticket.

2. Start with a roster, not a hotel poll
Write each person’s role as full-Decathlon solo, full-Decathlon pair, 005K solo or pair, or supporter. Then record the day each needs admission, whether they can share a bed, their arrival airport and their maximum spend. This takes ten minutes and prevents paying for the wrong combination of race and spectator access.

A pair should review XENOM’s current standards and division selection together, name the person handling checkout and agree what happens if one cannot travel. The 005K pair format says partners split the ski and both run; do not assume full-Decathlon pair rules are the same as HYROX doubles. Record both athletes’ names as required by the official checkout.
🏋️ Select a division from movements, not ego
The current standards describe Foundations, Intermediate, RX and Elite. Review the ten tests and loads for the actual division; Elite entry is subject to XENOM sport-team acceptance. The official slate includes a 1RM snatch, wall walks/rope climbs, an Echo Bike sprint and heavier work on day two. Ask a coach about unfamiliar movements rather than picking a category because friends chose it.
🎫 Make supporter access a separate line item
The 005K page says its entrants receive Sunday spectator access; that does not establish an all-weekend pass for every supporter. Check the official ticket product, day covered and any age/access rules. If someone only wants to cheer, avoid quietly adding them to a full race-entry split.
📬 Keep one source of truth
Save the organizer confirmation, current rulebook, participant names, hotel cancellation date and any later athlete brief together. The Miami page still marks heat times as pending. Do not enter guessed morning slots or mark a booking confirmed until the organizer assigns it.
3. Vote on a location with a real door-to-door cost
For Miami, the Miami Beach Convention Center is walkable from the Lincoln Road area; a lower Brickell hotel rate can be erased by repeat rides over the causeway. The same calculation applies at any future XENOM city: venue access and the number of athlete trips matter more than distance on a map.
🏨 Compare exact room setups
Shortlist an actual twin or apartment unit and show each person the all-in amount for the whole stay. Near Miami’s venue, 1818 Meridian House offers a close apartment-style base; Kimpton Surfcomber and Hyatt Centric are different walkable hotel options. These are examples, not official event blocks. Confirm fees, actual bed types and quiet hours.
🚕 Count journeys for every athlete
Two competitors in different start blocks may need separate venue returns. Put each route’s walking, public transit or car cost next to the room price. At the Miami venue, a walkable hotel can remove multiple rides. For a 2027 city, wait for the actual venue before finalizing a remote apartment.
💳 Use an explicit dropout rule
Choose a refund deadline before money moves: if a friend leaves after a nonrefundable room charge, who pays that share? If a pair changes, organizer rules control whether their entry can be transferred. XENOM’s current terms permit certain transfers requested at least 48 hours before an event via support, subject to eligibility; re-read the product terms before relying on that route.
4. Build a two-day plan with separate tracks
The full Decathlon lists five tests per day, not a single continuous HYROX-style race. Design an athlete track for check-in, warm-up, fuel and recovery, and a supporter track with optional activities and a reunion point. The two tracks can meet for dinner without forcing everyone into the same rhythm.
📍 Day before: orientation without fatigue
Arrive, identify the venue from outside, buy familiar breakfast items and settle room assignments. Each athlete checks the latest event email and the allowed-kit list. In Miami, an easy Lincoln Road walk and nearby dinner are enough; skip a long run, exhausting excursion or late club plan on arrival night.
⏱️ Competition day one: protect the gaps
Leave the morning open until the athlete schedule arrives. Agree one simple contact rule: after each test, the athlete updates the group when free, rather than supporters trying to predict exact finishes. A friend can explore the beach or a café while another rests at the hotel; do not plan a prepaid shared lunch between uncertain test blocks.
🏁 Competition day two: late exit possible
Sunday includes the remaining five full-Decathlon tests, while Miami’s standalone 005K is on Sunday. Set a meeting place away from crowd pinch points and reserve the celebration after the latest possible participant has finished. Book a Monday departure if your group cannot tolerate uncertain Sunday finish or airport traffic.
🥤 Food and recovery are individual choices
Keep familiar snacks and water available subject to venue rules. Some friends will want a big meal, others something light between efforts. Vote on the post-event restaurant, but let each athlete decide pre-event food and recovery without a group obligation.
5. Make the budget fair for a mixed group
A six-person Miami example shows how to avoid the usual “divide everything by six” trap. Prices are illustrative planning inputs, not live December hotel or ticket quotes.
🧮 Shareable base cost
Three twin rooms at an assumed $240 per room per night for three nights cost $2,160, or $360 per person. If the six people together spend $240 on shared airport cars, add $40 each. Add an illustrative $180 each for meals and $60 each for optional group contingency: $640 per person before race entry and airfare.
🎟️ Keep personal products personal
Athlete entries, 005K entries and spectator passes belong to the individual buyer or agreed pair, not the general room split. A person who chooses an upgrade or single room pays that difference. Optional cocktails, private training sessions and recovery appointments stay personal unless everyone opts in.
🔄 Recalculate when the roster changes
If five friends keep three twin rooms at the same $2,160 total, the room share becomes $432 each if split equally, not $360. Alternatively change one room before the cancellation deadline. Re-run the arithmetic and get a fresh vote rather than silently charging the remaining friends.
Keep estimated and confirmed costs in separate columns; the organizer’s entry checkout and final hotel invoice replace estimates.
6. A checklist for the organizer
✅ Before booking
Choose official event and format; collect each person’s role, budget ceiling and roommate preference; compare two walkable hotels; read the full cancellation and transfer terms; identify one buyer per pair and one person responsible for the group itinerary.
📨 After booking
Store individual confirmations and invoices, tag who paid, and remind everyone of refund deadlines. Do not write invented heat times into the trip. Let supporters opt into the activities they actually want, and confirm their venue access.
📱 Event week
Replace placeholder blocks with organizer reporting times, review entrance and bag rules, check airport and venue transport notices, assign a meeting point, and settle outstanding room shares. Keep a simple backup for delayed flights or an athlete who needs to rest.

Can everyone race together at XENOM?
Friends can enter the same event, but adjacent heats are not promised. The two-day Decathlon, pairs and standalone 005K are different products.
